3. Booking and Payment Terms

Booking Process

  • All bookings must be confirmed in writing via email or our booking system
  • A deposit of 30% is required to secure your booking
  • Full payment is due 30 days before the tour start date
  • Bookings made within 30 days of departure require immediate full payment

Payment Methods

  • Bank transfer (preferred method)
  • Credit/Debit cards (processing fees may apply)
  • PayPal (processing fees may apply)
  • Cash payment upon arrival (by prior arrangement only)

4. Cancellation and Refund Policy

Customer Cancellations

  • 60+ days before departure: Full refund minus 10% processing fee
  • 30-59 days before departure: 50% refund
  • 15-29 days before departure: 25% refund
  • Less than 15 days: No refund (unless covered by travel insurance)

Company Cancellations

In the unlikely event that we must cancel a tour due to circumstances beyond our control (weather, safety concerns, insufficient bookings), we will offer:

  • Full refund of all payments made
  • Alternative tour dates or packages
  • Credit towards future bookings (valid for 2 years)

5. Tour Inclusions and Exclusions

Typically Included

  • Professional English-speaking guide
  • Transportation as specified in itinerary
  • Accommodation (where specified)
  • Meals as indicated in tour description
  • Park entrance fees and permits
  • Basic first aid and safety equipment

Typically Excluded

  • International flights and visas
  • Travel insurance
  • Personal expenses and souvenirs
  • Alcoholic beverages (unless specified)
  • Tips for guides and drivers
  • Activities not mentioned in the itinerary

6. Health and Safety Requirements

Medical Conditions

  • You must disclose any medical conditions that may affect your participation
  • Some tours may have age or fitness restrictions
  • Pregnant women should consult their doctor before booking
  • We reserve the right to refuse participation if safety is compromised

Travel Insurance

Travel insurance is mandatory for all participants. Your insurance should cover:

  • Medical expenses and emergency evacuation
  • Trip cancellation and interruption
  • Personal belongings and equipment
  • Adventure activities and wildlife encounters

7. Participant Responsibilities

  • Follow all safety instructions provided by guides
  • Respect local customs, wildlife, and environment
  • Maintain appropriate behavior throughout the tour
  • Ensure valid passport and necessary visas
  • Arrive punctually at designated meeting points
  • Inform us of dietary requirements or allergies
  • Bring appropriate clothing and equipment as advised

8. Limitation of Liability

While we take every precaution to ensure your safety and enjoyment, participation in our tours involves inherent risks. Our liability is limited to the cost of the tour package. We are not liable for:

  • Delays or changes due to weather, traffic, or unforeseen circumstances
  • Loss or damage to personal belongings
  • Medical expenses or personal injury
  • Consequential or indirect damages
  • Actions of third-party service providers

9. Force Majeure

We are not liable for any failure to perform our obligations due to events beyond our reasonable control, including but not limited to:

  • Natural disasters and extreme weather conditions
  • Government actions, strikes, or civil unrest
  • Pandemic or health emergencies
  • Transportation failures or infrastructure problems
  • Wildlife behavior affecting tour safety

10. Photography and Media

By participating in our tours, you consent to:

  • Being photographed or filmed during the tour
  • Use of your likeness in our marketing materials
  • Sharing of your photos on our social media (with credit)

Please inform us if you do not wish to be photographed.

11. Environmental Responsibility

As an eco-tourism company, we expect all participants to:

  • Follow Leave No Trace principles
  • Respect wildlife and maintain safe distances
  • Use provided reusable water bottles
  • Dispose of waste properly
  • Support local communities and conservation efforts

12. Dispute Resolution

Any disputes arising from these terms or our services will be resolved through:

  • Direct negotiation with our management team
  • Mediation by a neutral third party
  • Arbitration under Sri Lankan law (as a final resort)

These Terms of Service are governed by the laws of Sri Lanka. Any legal proceedings will be conducted in the courts of Galle, Sri Lanka.
